Zetta Technologies Pvt. Ltd. ("Zetta", "we", "us", or "our") is committed to protecting the privacy of our customers and users. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered real estate CRM platform, our websites, and our mobile applications — including the Zetta Sales Intelligence field-sales app (the "Sales Agent App") available on Google Play and the App Store.

This policy applies to all Zetta products and services (collectively, the "Services"). Where a section is specific to our mobile apps — such as the collection of location and audio data — it is clearly marked.

By using Zetta's Services, you consent to the data practices described in this policy. If you do not agree with our policies, please do not access or use our Services.

Location & Audio in the Sales Agent App

Our Sales Agent App collects precise and approximate location, including background location, and records audio during site visits. These are used only to deliver core field-sales features — tracing the route an agent walks across a property and capturing the visit conversation for AI transcription and scoring.

Location and audio are collected only when you start a site-visit session and while a visible notification is shown. We do not use this data for advertising, and we never sell it. Full details are in sections 1.3, 9, and 10 below.

1. Information We Collect

1.1 Information You Provide

  • Account Information: Name, email address, phone number, company name, job title, and password when you create an account.
  • Lead Data: Information about your leads and customers that you input into our CRM system.
  • Communication Data: Call recordings, transcripts, chat messages, and email communications processed through our platform.
  • Payment Information: Billing address and payment details (processed securely through our payment partners).

1.2 Information Collected Automatically

  • Usage Data: Information about how you interact with our platform, including features used, pages visited, and actions taken.
  • Device Information: Browser type, operating system, IP address, and device identifiers.
  • Cookies and Tracking: We use cookies and similar technologies to enhance your experience and collect analytics data.

1.3 Information Collected by the Sales Agent App (Mobile)

The Zetta Sales Intelligence app is used by field-sales agents to record on-site customer visits. To provide these features, the app collects the following with your permission:

  • Location (precise & approximate, including background): When you start a site visit, the app records the GPS path you walk across a property or plot — including while the screen is off or the app is in the background — so the visit can be mapped and verified. Your approximate location is also used to show nearby projects on a map. Background location is captured only during an active site-visit session and is accompanied by an ongoing notification.
  • Audio & Microphone: With the client's consent, the app records the audio of a site-visit conversation. Recordings may continue in the background (via a foreground service with a visible notification) and are uploaded to our backend to be transcribed, summarized, and scored by AI. You review and edit the AI-generated summary before it is finalized.
  • Account & Authentication: Your email, name, and login credentials are used to authenticate you and associate visits with your account and organization.
  • Device & App-Usage Information: Device model, operating system version, app version, and basic diagnostics/app-usage data used to operate the app, sync uploads reliably, and fix problems.
  • Notifications: The app sends local reminders (for example, "a visit is ready to review"). You can disable these in your device settings.

You can grant or revoke location, microphone, and notification permissions at any time in your device settings. Revoking location or microphone access will disable the corresponding site-visit features.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • To provide, operate, and maintain our CRM platform and services
  • To process AI-powered lead qualification, call intelligence, and analytics
  • To trace and map site-visit routes using location data, so field visits can be recorded and verified (Sales Agent App)
  • To transcribe, summarize, and score site-visit audio using AI, and to write the approved summary back to your CRM/Salesforce (Sales Agent App)
  • To personalize your experience and provide relevant recommendations
  • To process payments and manage billing
  • To communicate with you about updates, features, and support
  • To improve our platform through analytics and user feedback
  • To ensure security and prevent fraud
  • To comply with legal obligations

3. AI and Data Processing

Zetta uses artificial intelligence and machine learning to power features like:

  • AI Voice Agent: Automated call handling and lead qualification
  • Call Intelligence: Call transcription, sentiment analysis, and quality scoring
  • Predictive Analytics: Lead scoring and conversion predictions
  • Site-Visit Intelligence: Transcription, summarization, and quality scoring of field site-visit recordings captured in the Sales Agent App

All AI processing is performed securely, and your data is used only to provide services to you. We do not use your proprietary business data to train models that benefit other customers.

4. Data Sharing and Disclosure

We may share your information in the following circumstances:

  • Service Providers: With trusted third-party vendors who assist in operating our platform (cloud hosting, payment processing, analytics).
  • Integration Partners: When you connect third-party services through our integrations. For example, the Sales Agent App writes approved visit summaries back to your Salesforce CRM, and we use Supabase for authentication and cloud-based AI providers for transcription and scoring.
  • Legal Requirements: When required by law, court order, or government authority.
  • Business Transfers: In connection with a merger, acquisition, or sale of assets.

We never sell your personal data to third parties.

5. Data Security

We implement industry-standard security measures to protect your data:

6. Data Retention

We retain your information for as long as your account is active or as needed to provide services. After account termination:

  • Lead and customer data is deleted within 30 days upon request
  • Call recordings are retained for 90 days, then permanently deleted
  • Site-visit audio recordings and the associated location path are retained for the duration needed to transcribe, score, and sync the visit, and are deleted within 90 days or upon your request
  • Billing records are retained for 7 years as required by law
  • Anonymized analytics data may be retained indefinitely

7. Your Rights

You have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you
  • Rectification: Request correction of inaccurate or incomplete data
  • Erasure: Request deletion of your personal data
  • Export: Request your data in a portable format
  • Opt-out: Unsubscribe from marketing communications

8. Cookies

We use cookies and similar tracking technologies to collect information and improve our services. You can control cookies through your browser settings. Types of cookies we use:

  • Essential: Required for platform functionality
  • Analytics: Help us understand usage patterns

9. Mobile App Permissions (Sales Agent App)

The Zetta Sales Intelligence app requests the following device permissions. Each is requested in context, and the app explains why before asking. You can decline or revoke any permission in your device settings.

Location — Foreground & Background (Fine & Coarse)

Used to trace the walking path across a property during a site visit (including when the screen is off) and to show nearby projects on a map. Background location is active only during a site-visit session and shows an ongoing notification.

Microphone (Record Audio)

Used to record site-visit conversations (with client consent) for AI transcription and scoring.

Foreground Service & Notifications

Lets recording and location tracing continue reliably in the background with a visible notification, and delivers "ready to review" reminders.

10. Account & Data Deletion

You can request deletion of your account and the personal data associated with it — including site-visit recordings and location paths — at any time:

  • Email privacy@zettatech.in from your registered address with the subject "Data Deletion Request", or contact your organization administrator.
  • We verify your identity and delete the requested data within 30 days, except where we must retain certain records to meet legal obligations (for example, billing records).
  • Because the Sales Agent App is provided to field-sales teams by their employer, some visit data may belong to your organization's account; in that case we will coordinate the request with your administrator.

11. Children's Privacy

Our Services are intended for business use by professionals and are not directed to children under the age of 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so we can delete it.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date. We encourage you to review this policy periodically.
